Can’t find the answer you’re looking for? We’ve shared some of our most frequently asked questions to help you out.

1. What to do if a student did not receive a survey invitation email?

Survey invitation emails are sent throughout the first day of the survey; students should wait until the end of the first day of the survey window to see if they receive an invitation before filling out a help form. Please ask the student to check their junk/spam folder as well as their deleted emails. If the student still cannot locate the survey email, please advise them to go to jcstudentsurveys.com and fill out a help form under “Contact Us”.  In addition, please make sure that the student’s Arrival Date was more than two weeks prior to the survey start date. This includes re-enrollees who have returned from an ASWR or MSWR that lasted fewer than 30 days.

2. What is the procedure if a student does not understand a word or a question on the survey?

Students can go to jcstudentsurveys.com and fill out a help form under “Contact Us” and SEA Support will contact them. If the student chooses to discuss the survey with a friend or staff member, this is acceptable. The staff person can clarify the meaning of a question or a word when asked by students; however, they should not suggest responses or try to view the students’ answers. It is not acceptable for staff or student leaders to ask a student if they need help or to assist them without being requested.

3. What accommodations for students with disabilities are available?

The survey is not timed, and students are able to leave the survey and go back in to complete the survey at any time during the survey window. Additionally, there is audio available to have the survey read to the students. The audio function is available in Spanish and English. It allows a student to press a play button for each set of questions and the computer will read the question and responses to the student. The student can pause and play the question and responses repeatedly if needed.

4. How are the students selected?

All students whose Arrival Date was at least two weeks prior to the start of the survey will be asked to participate via email.

5. What languages are available? What if the student is learning English and does not read or know Spanish?

The survey is currently available in English and Spanish. The survey instructions and questions emphasize readability and there is audio available (see question 3). Also, students can ask other students and staff for assistance, but this should be left to individual students to determine if they need help.

6. Will centers receive a copy of the survey?

No; not currently. The focus is that the students’ perceptions and experience of program quality at centers and their responses should be reported without influence. By not sharing the survey, the integrity of the process is maintained.

7. Can centers receive information about which students completed the survey?

No; centers will not be provided information about specific students. Response rate reports will be posted by 12:00 pm ET on the Job Corps Student Surveys website. These will be updated daily during the survey window and all center POCs will receive email notifications every day once updated response rate reports are posted. 8. Will the center receive survey results?

Centers will receive a report with their results after each survey administration. SEA reports are available in the Job Corps Resource Library (JCRL) under “SEA” as well as on the JC Student Surveys website. Once the report is available, center POCs will receive email instructions on how to access reports on the JC Student Surveys website, along with the password; no additional password is needed to access the reports in JCRL.

9. Are there any significant differences between this survey and the questions on the SSS?

Yes. This survey has more detailed and comprehensive questions about students’ experiences with various aspects of the program including residential living, academics and trade classes, experiences of non-residential students, etc. The survey is tailored to each student, asking students to only comment on program areas/services in which they participated. The SSS had only 49 questions and did not include questions about all Job Corps services. The SSS was discontinued. The forthcoming Student Safety Assessment will include questions related to student safety and security.

10. Is there a certificate at the end of the survey once a student completes the survey?

Students will receive a Thank You email once they complete the survey. If a student completes the survey but does not receive a Thank You email, they should check their junk/spam/deleted folders. They can also go to jcstudentsurveys.com and fill out a help form under “Contact Us” and SEA Support will confirm their completion.

11. How do we know if the students have checked their email?

On the center level, you will not know which students check their email and complete the survey. Survey administrators know this information and will send reminders to students who have not completed the survey to their Job Corps and personal email addresses recorded in CIS. Centers can ensure that students’ personal email addresses in CIS are up to date, ensure that students are able to log into their Job Corps email, encourage students to regularly check their Job Corps and/or personal email during the survey window, and encourage all students to take the survey. Centers will be kept informed of their response rate during the survey window.

12. Can the survey link and PIN be sent to an alternate email address?

If a student wants the survey invitation sent to a personal email address, please ask them to submit a ticket via the Contact Us form on the website. Students should choose the “please send the survey to my personal email” option in the Contact Us form and provide their personal email address. Please note that in the interest of survey security, if the emails do not match emails listed in CIS, students will be required to provide additional information (student ID number and phone number) to have the survey link sent to the specified email account.

13. Will virtual students take part in the survey?

Yes. Virtual students and students participating in distance learning will also be invited to participate in the survey if  they arrived more than two weeks prior to the survey. The survey is tailored to each student, asking students to only comment on program areas/services in which they have participated (i.e., virtual students will not be asked to comment about on center services).

14. Can we provide incentives for students?

The SEA survey is voluntary; students are not required to respond. Centers are prohibited from reprimanding or threatening to reprimand students who choose not to take the survey. This does not prohibit centers from using small incentives that encourage participation.  Centers are allowed to provide center-wide or individual incentives that are not included as a part of the regular privileges and services provided to all students.

15. Can the survey be taken during the training day?

Yes, time during the training day can be allowed for students to take the survey. Centers should minimize infringement on instruction and coordinate with CTT and academic instructors and managers. Staff should ensure there are no security or safety issues caused by students’ stoppage of work if students take the SEA survey during CTT or academic periods.
